Wasting time on document formatting​

When Keystone Law began a firmwide rebrand, it was the right moment to address some longstanding challenges with its document templates.

Their existing system was still widely used, but over time it had become harder to manage. It wasn’t always intuitive, and users often had to rely on prior knowledge to use it effectively. Any replacement needed to support the new brand while continuing to work reliably across a large number of users.

Working closely with Emily Johnson, Project Coordinator at Keystone Law, Kutana+Brochet were brought in to deliver a solution that could meet both requirements.

Improving usability and reducing risk

The previous template system made everyday tasks more complicated than they needed to be. Key actions weren’t always easy to find, and there were multiple points where errors could occur, particularly for less frequent users.

At the same time, the rebrand created a clear decision point. Updating templates within the existing branding would have required revisiting the work if a new solution was introduced later. The firm needed a single, coordinated transition.

A specialist approach to legal document automation

Our team worked closely with Keystone Law to review the existing templates and understand how they were used in practice.

The focus was on retaining what worked, while making the system easier to use day-to-day. Templates were restructured to simplify navigation, reduce reliance on user input, and introduce a clearer and more consistent way of working. Author management was also improved through contact integration, and users were given more options in how documents were organised.

The result was a set of legal Word templates aligned with Keystone Law’s new brand, but more importantly, designed around how their people actually work.

A smooth rollout across the firm

With around 600 users, the rollout needed to be carefully managed. Kutana+Brochet worked alongside Emily Johnson and Keystone Law’s IT team to deliver a structured, staged implementation.

Templates were tested on pilot machines before being rolled out more widely. Deployment across the firm was handled through an automated script, making it easier to apply updates consistently and avoid manual fixes. Internal training supported adoption, helping users get up to speed quickly.

Any issues identified along the way were picked up early and resolved centrally.
