Wasting time on document formatting
During the monthly meetings between Capital Law’s IT dept and their legal teams, the issue of document formatting had repeatedly come up. Members of their support staff were spending hours repairing manually formatted documents, wasting time that could have been better spent elsewhere. At crucial deadlines, even the junior legal team members wasted billable time cleaning up documents.
Despite already having a formatting tool, the team found it too complex, with an unfriendly user interface so they preferred to format documents manually. For example, the tool didn’t retain cross-references or footnotes – they were all deleted from the document.
Support staff were making decisions on document presentation vs features and functionality, and so choosing to format it manually. Hence it was an urgent issue that they needed to resolve!
Finding the right solution with Brochet Paste
Natalie Price, Application Analyst and Trainer at Capital Law, invited Angela Crossland from Kutana+Brochet to demo their restyler and repair tool, Brochet Paste, for the support staff to see in action.
Angela took them through the capabilities of Brochet Paste, including how easy it was for users to add content from anything copied into a clipboard. She also showed how text copied from another Microsoft Word document retains all track changes, comments and footnotes, resulting in a clean, accurate auto-numbered document in the house style.
The feedback on whether to take things further was a resounding ‘yes’, with support staff fully behind the rollout.
Rolling out across the firm
After the tool was embedded into Capital Law’s desktop in Word, they organised user acceptance testing with a selection of team members, with support from Angela along the way.
Natalie commented: “Brochet Paste has been embraced across the firm in a way we hadn’t anticipated. Originally, it was only going to be rolled out to support staff, but having seen it in action, a number of our more senior members of staff and solicitors are using it now too. The product works in the background, enabling you to carry on with other tasks, which our previous tool didn’t allow.”
Evaluating the ROI
Capital Law undertook a couple of real case study tests, comparing Brochet Paste with the previous tool, looking at both time spent and cost to the business, highlighting significant savings…
In one of these, they used the previous software on a 245-page document before a client deadline. The software took two hours, but the document still needed 73 hours of work from support staff, including some unrecoverable trainee time, and an extension on the deadline.
The team tested the same document using Brochet Paste. They completed the task in six hours, a 90% time saving, involving minimal support and not wasting any billable hours.
Aside from the substantial time and cost savings that Brochet Paste delivered for Capital Law, the end users love the product’s ease and functionality.
